What we collect, why, and how long we keep it. Written to be read by candidates as well as by the companies that hire them.
Who we are, and which hat we are wearing
The AI Round is operated by Fivetrees Technologies LLP, registered at W 403, Rohan Jharoka 2, Near Lagica Building, Yemlur, Bangalore, Karnataka 560037, India. You can reach us through the form on this site, which is the one contact route we operate: this domain has no mailbox, so an address here would bounce.
We act in two different roles, and which one applies changes who decides what happens to your data.
- For candidate data we are a processor. The employer who invited you to an interview decides why your data is collected and how long it is kept. We handle it on their instructions, under a contract with them.
- For our own site and customers we are a controller. That covers sales enquiries through the contact form and the accounts of our customers' hiring staff.
If you are a candidate
An employer you applied to has asked us to run one interview round with you. We did not get your details from anywhere else, and we do not sell them, share them with other employers, or use them to build a profile that follows you between companies.
What we hold
- Your name and email address, given to us by that employer when they scheduled the round.
- Your answers, as the transcript of the interview.
- Your resume, if the employer sent one, and the text extracted from it.
- A summary from your camera. See below, because this one deserves detail.
- The evaluation written from your answers: a score, a summary, and findings that quote you.
- Your IP address, separately from everything else. If you use the page that recovers a lost interview link, or if your browser reports a failure to us, your address becomes the key of a counter that stops those pages being hammered. It counts for fifteen minutes and the row is deleted by our daily sweep. It is not stored next to your name, your interview or anything you said, and it is never used to recognise you later.
The camera, in detail
A round will not start without your camera on, and it pauses if you leave the frame or if someone else appears. That is to keep the interview fair for everyone taking it.
No video or audio is recorded, uploaded or stored. The analysis runs entirely in your own browser. What reaches us is a summary: how much of the round you were in view, periods when you were away, and whether another person appeared. Because it runs on your device, it deters rather than proves, and we describe it that way to the employer too.
Some employers also receive advisory notes on body language, such as whether you faced the screen. Those notes are never shown as evidence, never sent to the model that scores you, and never part of your score. Where a customer operates somewhere this is not permitted, the analysis is switched off entirely for them and the fields stop being collected.
What we do not do
- We do not train AI models on your interview. Your answers are not used to improve any model, ours or anyone else's.
- We do not record video or audio.
- We do not send you marketing. The only mail you receive from us is the invitation, the verification code, and nothing else.
- We do not decide whether you are hired. The employer does, and the evaluation is one input among theirs.
How long we keep it
Your employer sets the retention window in their contract with us, and we erase automatically once it passes. Erasure is not a soft delete: the transcript, the evaluation and the camera summary are deleted, any comparison that named you is deleted, and your name and email are replaced with a tombstone. What remains is the fact that a round happened, when, and what it cost, which has no personal data in it and which we keep because invoices have to stay reconstructable.
Backups are kept for up to 35 days, so an erased record can persist in a backup for that long before it ages out.
Your rights, and the honest route to them
You can ask for a copy of your data, ask for it to be corrected, or ask for it to be erased. Because we hold it on the employer's behalf, the fastest route is to ask them directly, and we will act on their instruction. You can also send the request to us and we will pass it on and tell you we have done so. Where local law gives you the right to object to a decision made by automated means, the employer is the one making the decision, and this notice does not take that right away.
If you are a customer, or thinking of becoming one
For your staff we hold an email address, a role, and which company they belong to. Sign-in is by emailed link rather than a password, so we store no password for anyone.
If you use our contact form we keep what you typed, so that someone can reply. If you do not become a customer we delete it after a year. If you do, it becomes part of your customer record.
We use IP addresses in one way only: to rate limit the handful of pages a stranger can reach without signing in, so that none of them can be hammered. That covers this contact form, both sign-in forms, the page a candidate uses to find a lost interview link, and the endpoint a browser reports a failure to. The address is the key of a counter, and nothing else: the counting window is between one and fifteen minutes depending on the page, and the row itself is deleted by our daily sweep, so an address can sit in that table for up to a day after it has stopped counting against anything. We do not log IP addresses alongside anything you did, and we never use one to build a profile or to recognise you later.
The contact form is the one exception to that, and only on that page: it loads a check from Cloudflare that tells a person from a script, and Cloudflare sees your IP address and browser while it runs. It sets no tracking cookie. No other page loads anything from anyone but us, including every page a candidate sees.
Where everything runs, and who else touches it
Where your data is stored
Your company's data, including every transcript and dossier, is stored and served from Amazon Web Services in the Mumbai region (ap-south-1). It is encrypted in transit and at rest, and each company's data is isolated from every other company's at the database level.
Where interviews are processed
Conducting an interview and writing the evaluation means sending that conversation to a model. Those models run inside our own Amazon Web Services account rather than at a third-party AI vendor, and your interview is not sent to one. They run in the Asia Pacific region, which means India, Japan, South Korea, Singapore or Australia depending on where Amazon has capacity at the time. Nothing is used to train any model.
So your stored data stays in Mumbai, and the processing of an interview may happen elsewhere in Asia Pacific. We separate the two because they are different promises and it would be easy to imply the stronger one.
We use these sub-processors, and no others:
- Amazon Web Services, for hosting, storage, sending email, and the models that conduct the interview, write the evaluation and compare candidates. Data is stored in India; interviews are processed within the Asia Pacific region.
- Cloudflare, on the contact form only, to check that a submission comes from a person. It receives the visitor's IP address and browser details while the check runs, and nothing a candidate or a hiring team ever types.
Changes
If we change what we collect or who we send it to, we change this page and move the date at the top. Customers are told in advance through their contract.
Questions, or a request about your own data: use the contact form. If you want to know how we handle data before becoming a customer, ask us directly.
